How Vectra handles information on this website.
Who this policy covers
Vectra operates this company website and is responsible for the contact information collected through it. Contact us at vectraservices1@gmail.com about privacy or data requests. This policy covers the Vectra website and its restricted team dashboard. Mova is under development; this policy does not describe a live Mova payment, booking or mobile-app service.
Information collected
When you send a message, we collect your name, email address, optional company name, message type, subject and message. To reduce spam, we keep short-lived counters using hashed email and, where available, network identifiers; raw IP addresses are not stored in these counters. Expired counters are cleaned up on later submissions after a one-day grace period. We also store its creation time, a message identifier and email-notification status. For authorised team access, we process the sign-in identifier and email supplied by our authentication service, team membership and invitation records. Hosting and authentication providers may process IP addresses, browser information and security logs to deliver and protect the service. Please do not send passwords, payment details or sensitive personal information through the form.
Why we use it
We use enquiries to respond to requests and discuss potential projects, complaints to investigate concerns, and feedback to improve our services. We process team data to control access and maintain invitation records. Depending on the request and applicable law, processing is based on steps requested before a contract, our legitimate interests in responding and securing the website, or legal obligations. If a future optional use requires consent, we will request it separately. Sending a contact message does not subscribe you to marketing.
Service providers and access
Messages are stored in the website database on Cloudflare D1. Resend receives the message information to send a notification to our Gmail inbox, hosted by Google. OpenAI’s Sites platform provides website hosting orchestration and sign-in access, using Cloudflare infrastructure. Authorised Vectra team members can view messages to handle them. Providers process information under their own applicable terms and privacy notices. We do not sell contact-form data or use it for advertising profiles. We may disclose information where required by law or reasonably necessary to protect rights and investigate abuse.
International processing
Our service providers may process information outside Nigeria or the country where you live. The applicable protections depend on the provider, location and service arrangements. Contact us for information about the providers involved in your request. Before introducing new international processing arrangements, we need to assess the safeguards required by applicable law.
Retention
Contact records and email copies are retained while needed to handle the request, maintain relevant business correspondence or meet legal and dispute-related needs. There is currently no automatic deletion timer for enquiries. You can request deletion by email; we will assess the request and any justified need to retain records, including copies held in the website inbox and email. Team and invitation records are retained for access administration and security. Provider logs and backups follow the provider’s retention arrangements.
Your choices and rights
Depending on applicable law, you may request access, correction, deletion, restriction or portability of your information, or object to certain processing. Where processing relies on consent, you may withdraw it without affecting prior lawful processing. Email vectraservices1@gmail.com with your request; we may need proportionate verification of your identity. You may also complain to the Nigeria Data Protection Commission at ndpc.gov.ng or the relevant authority where you live. Rights can be subject to lawful exceptions.
Cookies, security and children
Our cookie notice explains browser storage. We use access controls and service-provider protections, but no online service can guarantee absolute security. This company website is not directed at children, and we do not knowingly seek their personal information. If you believe a child has submitted information that should be removed, contact us.
Changes to this policy
We will update this page when website processing changes and revise the date above. Where required, we will provide additional notice or seek consent before introducing a new use of personal information.
